1. Scope of Application

These Terms and Booking Conditions apply to services provided by Miramar Inc. / Miramar Japan Golf & Travel, including Japan golf travel, private chauffeur service, airport transfers, accommodation arrangements, golf course reservations, ryokan and onsen stays, customized itineraries, and related booking assistance.

By making an inquiry, booking, payment, or using our services, the traveler is deemed to have understood and agreed to these terms, as well as the conditions stated in each quotation, confirmation document, and supplier policy.

1. Quotations and Service Details

The itineraries, prices, golf courses, hotels, vehicle types, photos, articles, and sample routes shown on this website are for reference only. Actual arrangements depend on travel dates, number of guests, golf course availability, hotel room availability, vehicle availability, supplier conditions, and mutually confirmed details.

The final quotation is based on the individual quotation, confirmation document, or mutually confirmed message issued by Miramar Japan Golf & Travel. If golf course, hotel, vehicle, restaurant, or supplier conditions change, the itinerary and price may need to be reconfirmed.

1. Deposit and Booking Confirmation

A deposit is usually required before Miramar Japan Golf & Travel begins confirming golf courses, hotels, vehicles, guides, restaurants, or other supplier arrangements.

The deposit amount, payment deadline, currency, and payment method are based on each quotation or confirmation document. Booking arrangements begin only after the deposit has been received.

Before the deposit is received, golf course availability, hotel rooms, vehicles, and quoted conditions cannot be guaranteed.

1. Balance Payment

The balance payment method and deadline are based on each quotation or confirmation document. Payment may be made by bank transfer before departure, online credit card payment, or local cash payment, depending on the case.

Payment conditions may vary by itinerary. Travelers should confirm the payment deadline, currency, transaction fees, and payment method when confirming the booking.

Failure to complete payment by the specified deadline may affect the reservation status of golf courses, hotels, vehicles, or other services.

1. Cancellation and Refunds

Cancellation fees are handled according to the policies of hotels, golf courses, vehicle providers, restaurants, guides, and other suppliers. Some booking fees, service fees, already-incurred costs, or non-refundable arrangements may not be refundable.

If the traveler cancels or changes the itinerary, Miramar Japan Golf & Travel will confirm the applicable cancellation fees and refundable amount based on the quotation, confirmation document, and supplier rules.

1. Itinerary Changes

If the traveler requests changes to travel dates, number of guests, golf courses, accommodation, vehicle type, flights, vehicle hours, or itinerary details, availability, pricing, and supplier conditions must be reconfirmed.

If changes result in cancellation fees, amendment fees, price differences, overtime charges, or additional costs, these costs shall be borne by the traveler.

Late change requests may not be possible if suppliers cannot accommodate the adjustment.

1. Golf Course Reservation Rules

Golf course reservations in Japan depend on travel dates, number of players, weekdays or weekends, 2B / 3B rules, membership requirements, course availability, and each golf course’s acceptance conditions.

Travelers may request preferred golf courses, but a request does not guarantee successful booking. Some prestigious, private, or member-based golf courses may have stricter reservation requirements, especially on weekends and popular dates.

Travelers must follow golf course dress codes, check-in times, clubhouse etiquette, restaurant rules, pace of play, and on-site instructions. Miramar Japan Golf & Travel is not responsible for refusal of entry, missed tee times, or additional charges caused by the traveler’s failure to follow golf course rules.

1. Weather, Traffic, and Force Majeure

Weather, road congestion, flight delays, natural disasters, temporary golf course closures, hotel issues, transportation supplier issues, or other circumstances beyond our control may affect the itinerary.

If an itinerary is affected by force majeure or supplier-related circumstances, Miramar Japan Golf & Travel will assist travelers in checking possible alternatives. However, fees, refunds, and amendment conditions remain subject to supplier policies.

1. Private Chauffeur Service and Vehicle Hours

Daily vehicle service hours are based on the quotation or confirmation document. Private chauffeur service is usually arranged based on agreed service hours. If the itinerary exceeds the agreed hours, service area, or includes additional stops, overtime fees or additional charges may apply.

Vehicle type is arranged based on the number of passengers, suitcases, golf bags, and the actual travel route. If the actual number of bags or golf bags exceeds the information originally provided, a larger vehicle or additional vehicle may be required, and additional charges may apply.

1. Luggage and Golf Bags

Travelers must inform Miramar Japan Golf & Travel in advance of the number of suitcases, golf bags, and any large or special items.

For golf itineraries, vehicle selection should not be based only on passenger seats. Space for golf bags and large luggage must also be considered.

If the traveler does not provide accurate luggage information in advance and the assigned vehicle cannot accommodate all items, Miramar Japan Golf & Travel will assist with adjustments where possible, but additional vehicle fees, waiting time, or other costs may apply.

1. Accommodation and Ryokan Stays

Room types, number of rooms, meals, check-in time, cancellation rules, and ryokan dining times are subject to each hotel or ryokan’s policies.

One-night two-meal plans, dinner time, children’s meals, dietary restrictions, allergy requests, and room type requests must be confirmed in advance. Even when requests are made in advance, they are subject to what the hotel or ryokan can actually provide and cannot be guaranteed in all cases.

If the traveler arrives late due to golf, traffic, or personal reasons, dinner, check-in, or other services may be affected.

1. Traveler Responsibilities

Travelers are responsible for providing accurate names, flight details, travel dates, number of guests, accommodation information, luggage count, golf bag count, and contact information.

Travelers are also responsible for complying with Japanese laws, golf course rules, hotel rules, vehicle usage rules, and public order. If the itinerary is affected due to incorrect information, delays, failure to follow rules, or personal conduct, the traveler shall bear the related responsibility and costs.

1. Items Not Included

Unless clearly stated in the quotation, the following items are generally not included:

International airfare
Personal expenses
Alcohol and additional meals
Admission fees
Travel insurance
Visa fees
Overtime fees
Additional itinerary requests
Golf club rental
Caddie fees
On-site golf course surcharges
Additional costs caused by the traveler’s personal circumstances

1. Travel Insurance

Travelers are advised to purchase overseas travel insurance that includes medical coverage, accident coverage, luggage delay, flight delay, cancellation coverage, and golf-related coverage.

If the traveler cannot travel due to illness, injury, flight changes, or personal reasons, cancellation and refund conditions remain subject to supplier policies.

Golf courses, hotels, prices, photos, articles, routes, and sample itineraries shown on this website may change due to seasonality, supplier conditions, exchange rates, regulations, or actual availability.

Final arrangements are based on the individual quotation, confirmation document, or mutually confirmed message. Miramar Japan Golf & Travel makes reasonable efforts to provide accurate information and assistance, but does not guarantee that every sample itinerary or website example can be arranged exactly as shown for all dates.
